WhatsApp Business API Defined
The WhatsApp Business API, now part of Meta's WhatsApp Business Platform, lets medium and large businesses send and receive WhatsApp messages at scale through software instead of a phone app. It connects WhatsApp to helpdesks, CRMs, and AI agents, so teams can run customer support and notifications on WhatsApp.
In many countries, WhatsApp is the default way people message each other, and increasingly the way they expect to reach businesses. A support team cannot answer thousands of those conversations from a single phone. The WhatsApp Business API is how companies connect WhatsApp to the tools they already use for support.
What is the WhatsApp Business API?
The WhatsApp Business API is Meta's programmatic interface for businesses to use WhatsApp at scale. Meta now calls the product the WhatsApp Business Platform, and most businesses use its hosted version, the Cloud API. Instead of messaging from a phone, a business connects its WhatsApp number to software, so messages flow into a helpdesk, CRM, or AI agent alongside other channels.
It is different from the free WhatsApp Business app, which is designed for small businesses with one or a few people answering on a phone or desktop.
| WhatsApp Business app | WhatsApp Business API | |
|---|---|---|
| Built for | Small businesses | Medium and large businesses |
| Interface | Phone or desktop app | Connected software (helpdesk, CRM, AI agent) |
| Agents | A handful of devices | Many agents and automation |
| Automation | Basic quick replies and greetings | Chatbots, AI agents, integrations |
| Cost | Free | Charged per message for some message types |
Why the WhatsApp Business API matters
- Customers are already there: WhatsApp has more than two billion users, and in markets such as India, Brazil, Indonesia, and much of Europe, it is the primary messaging app
- Asynchronous by design: customers can message, put their phone away, and pick up the reply later without losing the thread
- Rich messages: businesses can send images, documents, buttons, and lists, and customers can send photos and voice notes
- Proactive updates: approved templates allow order confirmations, shipping alerts, and appointment reminders
For ecommerce teams in particular, WhatsApp is often where "where is my order" questions, or WISMO, arrive, which makes it a strong fit for automation.
How the WhatsApp Business API works
- Set up access: the business registers through Meta directly or through a Business Solution Provider (BSP), such as a helpdesk or messaging platform, and verifies its business.
- Connect a phone number: a business number is linked to the API, either a new number or one migrated from the WhatsApp Business app.
- Receive messages: when a customer messages the business, the platform sends the message to the connected software through a webhook.
- Reply within the service window: a customer message opens a 24-hour customer service window in which the business can reply freely.
- Use templates outside the window: to start a conversation, or reply after 24 hours, the business must use a message template that Meta has approved.
- Respect opt-in: businesses need the customer's permission before sending proactive messages.
Rules to know
- Templates are required for business-initiated messages and are grouped into marketing, utility, and authentication categories, each priced differently
- Opt-in is required before sending proactive messages
- Quality ratings apply: numbers that get many blocks or reports can be limited
- Commerce and content policies restrict what can be sold or promoted
Meta updates pricing and policy regularly, so check its current documentation before planning costs.
How Fin works on WhatsApp
Fin answers customer messages on WhatsApp using the same knowledge, Procedures, and connected data it uses on chat and email, in 45 languages. Customers can send photos or documents, and Fin can hand off to the team inside the same conversation when a person is needed. See the social messaging channels page for details.
Frequently asked questions
Is the WhatsApp Business API free?
Not entirely. Replies inside the 24-hour customer service window are generally free, but business-initiated template messages are charged per message, at rates that vary by country and category.
Can I use my existing WhatsApp number with the API?
Usually, yes. The number is migrated to the API. Depending on the provider, Meta's coexistence option can let a business keep using the WhatsApp Business app on the same number.
