How to use Artifacts in Operator

Create, update, share, find, and manage Artifacts in Operator to keep and share reports, analyses, and plans.

Use this article to create, share, update, find, and manage Artifacts in Operator. An Artifact is a self-contained document that Operator saves for you — a report, analysis, plan, or write-up that you want to keep, share with a colleague, or use outside a single conversation.

Unlike a chat reply, an Artifact:

  • Persists beyond the 90-day chat lifecycle

  • Appears as a card in the conversation and in your Artifacts list under Operator

  • Can be shared with specific teammates or your entire workspace

  • Can be updated at any time by asking Operator to revise it

Key benefits:

  • Share work without sharing the conversation — send a report to your support leads without giving them access to the full chat.

  • Keep work for later — Artifacts survive after chats expire, so important documents are still there when you need them.

  • One current version — when Operator updates an Artifact it overwrites the same document, so there's never a trail of competing replies.

Note: Artifacts are included with Operator on the Pro add-on.

Create an Artifact

Artifacts are created through your conversation with Operator. Ask Operator to save any output — a report, analysis, or plan — as an Artifact. Operator creates the document, gives it a title, and makes it available from both the conversation and your Artifacts page.

How to create an Artifact

  1. In Operator, ask for the output you want — for example, "Analyze last quarter's Fin resolution rate by topic."

  2. When Operator has produced the work, ask it to save it: for example, "Save this as an Artifact."

  3. Operator creates the document and confirms it's saved. The Artifact appears as a card in the conversation and in Operator > Artifacts.

Prompt patterns that create Artifacts

Operator creates an Artifact when the output is something you'd keep or send. Phrases that trigger this include:

Trigger phrase

Example

"Save this as a doc"

"Save this analysis as a doc"

"Write this up"

"Write up a summary of this week's metrics"

"Something I can share"

"Make me something I can share with my manager"

"Make me a report / plan / write-up"

"Create a knowledge gap report for Fin this week"

Update an Artifact

You can ask Operator to update an existing Artifact from any conversation. Operator rewrites the Artifact with your requested changes and overwrites the current version — so there's always one current document, not a trail of versions spread across your chats.

How to update an Artifact

  1. Open any conversation in Operator.

  2. Ask Operator to update the Artifact by name: for example, "Can you update my Product feedback report August artifact?"

  3. Operator finds the Artifact, makes your changes, and confirms the update. The Artifact is overwritten with the new version.

Important: Only the owner can currently make changes to an Artifact. Manual editing isn't supported — all updates must be requested from Operator.

Share an Artifact

Sharing an Artifact gives teammates read access to the document without requiring them to access the conversation where it was created. Artifacts are private by default — only the owner can see and make changes.

How to share an Artifact

  1. Open the Artifact from the conversation card or from Operator > Artifacts.

  2. Select the share icon in the top-right corner of the Artifact panel.

An open Artifact panel titled Plan: Improving Customer Trust in the AI Agent, with an arrow pointing to the share icon in the top-right corner of the panel, next to the expand and close buttons.

  3. In the Share this artifact dialog, add emails or names of specific teammates, or toggle Anyone in this workspace can view to share it with everyone.

The Share this artifact dialog showing an Add emails or names field, an Anyone in this workspace can view toggle switched on, a Who has access section listing Dawn as the owner, a sensitive information note, and Copy link and Done buttons at the bottom.

  4. Select Copy link to copy a direct link, then select Done.

Note: Sensitive information will be visible to anyone you share the Artifact with. Artifacts can't be shared with another workspace.

How to remove access

Only the owner can remove a teammate’s access to an Artifact.

  1. Open the Artifact from the conversation card or from Operator > Artifacts.

  2. Select the share icon in the top-right corner of the Artifact panel.

  3. In the Share this artifact dialog, find the teammate under Who has access.

  4. Select Remove access next to their name.

The Share this artifact dialog showing the Who has access section with two teammates listed — Dawn and Daniel — and a Remove access button visible next to Dawn's name.
  5. Select Done.

Find your Artifacts

All Artifacts you've created or that have been shared with you are listed in Operator > Artifacts. From here you can browse, search, and open any Artifact.

Filtering your Artifacts

Use the filter dropdown to narrow your view:

  • Created by me — Artifacts you own

  • Shared with me — Artifacts others have given you access to

  • All — every Artifact visible to you in the workspace

Searching your Artifacts

The search bar in Operator > Artifacts searches by title, owner, and metadata. It doesn't search the content inside an Artifact.

Renaming or deleting an Artifact

Select the three-dot menu (…) on any Artifact row to rename or delete it. Only the owner can rename or delete an Artifact.
