How to use Routines in Operator

Learn how to set up Routines so Operator runs recurring tasks for you, and how to pause, edit, or delete them.

A Routine is a task you configure once and Operator runs automatically, either on a schedule or when an event happens — returning results, surfacing findings, and flagging decisions that need a person, without you having to prompt it each time.

Unlike a one-off prompt, a Routine:

  • Runs on a schedule you define (daily, weekly, or at a custom frequency) or when an event you choose happens

  • Returns its results to your Operator conversation automatically

  • Pauses and asks for your input when it reaches a decision that needs a person

  • Can be paused, edited, or deleted at any time

Key benefits

  • Stop repeating the same prompts — set up a Routine once and it runs without you

  • Catch issues early — recurring analysis surfaces problems before they escalate

  • Keep your team informed — scheduled summaries arrive without anyone having to ask

Note: Routines are included with Operator on the Pro add-on.

Create a Routine

Routines are created through your conversation with Operator. Describe what you want Operator to check, how often, and what output to return — Operator sets up the schedule and runs it automatically from there.

How to set up a Routine

  1. In Operator, select Routines from the left navigation.

  2. Select Set up a routine or type your request directly into the prompt field.

  3. Describe what you want Operator to check, how often, and what output to return. If the Routine may propose changes, specify that Operator should return them for review before anything is applied.

  4. Operator confirms the Routine is saved and shows you when it will next run.

Tip: Start your prompt with the signal or source to check, the frequency, and the expected output — for example: "Every Monday, check Fin's unresolved conversations from the previous week, summarize the top knowledge gaps, and return a short report. Ask me for approval before making any changes."

Routine prompt patterns

Operator sets up a Routine when your prompt describes repeatable work, either on a schedule or in response to an event. Phrases that trigger this include:

Trigger phrase

Example

"Every [day/week], check…"

"Every Monday, check Fin's unresolved conversations"

"Set up a recurring…"

"Set up a recurring knowledge gap report"

"Run this automatically…"

"Run this automatically each week and return a summary"

"Schedule a…"

"Schedule a daily briefing on Data Connector errors"

View and manage your Routines

All your Routines are listed in Operator > Routines. From here you can view, pause, edit, or delete any Routine.

What each Routine shows

Each Routine in the list displays:

  • The Routine name and description

  • Its trigger — for scheduled Routines, how often it runs and when it will next run; for event-triggered Routines, the event that starts it

  • Its current status — active or paused

How to pause or resume a Routine

  1. In Operator, select Routines from the left navigation.

  2. Find the Routine you want to pause or resume.

  3. Select the toggle next to the Routine to pause or resume it. A paused Routine won't run until resumed.

How to edit a Routine

  1. In Operator, select Routines from the left navigation.

  2. Find the Routine you want to change.

  3. Select the Routine to open it, then describe your changes to Operator in the conversation. Operator updates the Routine and confirms the new schedule.

How to delete a Routine

  1. In Operator, select Routines from the left navigation.

  2. Find the Routine you want to delete.

  3. Select the three-dot menu (…) next to the Routine and select Delete. The Routine is permanently removed and won't run again.

Important: Deleting a Routine is permanent and can't be undone. The Routine’s history and previous results aren't affected — only the scheduled task is removed.

FAQs

Can a Routine make changes automatically without my approval?

A Routine can only make changes automatically without your approval if you set it up that way. When creating a Routine, you can specify that Operator should return proposed changes for your review before anything is applied. We recommend this for any Routine that may update content or configuration.

Can I set up event-triggered Routines?

Yes, you can set up event-triggered Routines. An event-triggered Routine runs Operator in response to a specific event instead of on a schedule. Scheduled Routines (daily, weekly, custom frequency) are also available.

What happens to Routine results after they run?

Routine results are returned to your Operator conversation after they run. If you want to keep the output, ask Operator to save it as an Artifact — a persistent document you can find, share, and return to later.

Can I share a Routine with a teammate?

You can't share a Routine with a teammate yet. Routines are currently personal to the teammate who created them, and sharing Routines across teammates isn't supported yet.

What if a Routine produces incorrect or unexpected results?

If a Routine produces incorrect or unexpected results, review the Routine's prompt and refine it. The more specific your instructions — the source to check, the frequency, and the expected output format — the more consistent the results. You can edit a Routine at any time from Operator > Routines.
