Manage permissions effortlessly with custom roles

Create custom roles to assign consistent permissions to your team and keep your workspace secure and compliant.

Custom roles are reusable sets of permissions that you can assign to teammates in your Fin workspace. They make it simple to update permissions for a large group of people all at once.

Custom roles give you precise control over access to settings, reporting, Fin configuration, and more — going beyond the three default roles (Full Access, View Only, and No Access).


Create a new custom role

To create a new role, go to Settings > Teammates > Roles and click New role.

Tip: All workspaces come with three default roles: View Only, Full Access, and No Access. These roles can also be customized or deleted.

Enter a name and description for your role. The description should be clear for anyone using this role, so they can see exactly what it allows teammates to do in your Fin workspace.

For each role, you can decide whether they are given a Fin Copilot seat.


Next, select the permissions that teammates with this role will have.

Then save your new role.


Assigning roles to your teammates

To assign a role to a teammate, go to Settings > Teammates and click Edit when hovering on the teammate whose role you want to change.

From there, you can use the Role dropdown to select a new role and click Save changes to apply them.

To find a specific teammate, or see all teammates with a certain role, use the dropdown or search box above the list.


Editing or deleting a role

To edit or delete a role, go to Settings > Teammates > Roles and click the gear icon on the role you’d like to edit.

Note: You can't edit your own role, or your own permissions. This is a security measure to ensure every workspace has at least one teammate with admin permissions.


You can then adjust the permissions assigned to this role. Make sure you update the description for the role so it’s clear to your other teammates.

Click Apply changes to confirm the new permissions. These permissions will immediately apply to all teammates with the selected role.

Tip: If you're setting custom permissions for your teammates, you may also wish to review and monitor the activity logs for your teammates. This can help detect unexpected behavior like configuration changes or data exports, which is useful for troubleshooting or auditing.
